BID COORDINATOR

QUALIFICATIONS:

  1. High School Diploma or GED.
  2. Possess strong office-related skills including extensive word processing, data base preparation, filing, and organizational skills. Experience with Windows programs such as Word and EXCEL.

PREFERRED QUALIFICATIONS:

  1. Experience with AS400 applications and Internet WEB page development.

REPORTS TO: Director of Purchasing/Senior Buyer

SUPERVISES:

JOB GOAL: To assist with the overall procurement process in supporting schools and support sites with their acquisition needs.

ESSENTIAL JOB FUNCTIONS:

  1. Responsible for preparing formal Request for Proposal (RFP), Invitation for Bid (IFB), and request for Quotation (RFQ) documents.
  2. Responsible for filing all formal solicitations.
  3. Prepare and distribute vendor correspondence.
  4. Develop, maintain, and update appropriate data base files and records for vendor lists, contract information, and miscellaneous files.
  5. Prepare Board Agendas and Board Reports for biweekly Board meetings.
  6. Assist Purchasing Clerk with inputting requisitions.
  7. Assist Buyer, Senior Buyer, and Director of Purchasing on an as-needed basis.
  8. Handle and distribute all incoming phone calls, greet visitors, and process mail.
  9. Work shift may vary depending on needs of the Department.
  10. Other job-related duties as assigned.

TERMS OF EMPLOYMENT: Nine, ten, or twelve-month year. Salary and work year to be established by the Board.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Support Services Personnel.
