SPECIAL EDUCATION RECORDS CLERK (formerly Records Clerk – District Special Education Department)

QUALIFICATIONS:

  1. High School diploma or GED.
  2. Demonstrated responsible general clerical.
  3. General typing skills.
  4. Demonstrated knowledge and ability to utilize modern office methods/procedures including computer and word processor.
  5. Familiarity with legalities concerning:
    1. Confidentiality of student records
    2. Sending student records to other schools/agencies
    3. Qualifications for accepting special records

GRADE: 14

REPORTS TO:    Director of Special Education.

ESSENTIAL JOB FUNCTIONS:

  1. Establish and maintain positive working relationships/telephone communication with parents, teachers, district employees and general public.
  2. Clerical and technical tasks in preparation and maintenance of all special education, speech, private school and homebound records.
  3. Maintain accurate student counts for all programs.
  4. Input student data on computer.
  5. Submit reports to Arizona Department of Education.
  6. Monitor each special education record for compliance.
  7. Maintain hanging file and Rolodex information on each student.
  8. Xerox student records on request from other schools/agencies.
  9. Order special education forms.
  10. Distribute special education forms to buildings.
  11. Accurately enter and withdraw students for census on computer.
  12. Monitor receipt of reports/forms for student records from teachers and other staff members.
  13. Notify parents regarding destruction of special education records.
  14. Destruction of special education records.
  15. Other job-related duties as assigned.

TERMS OF EMPLOYMENT:  Nine, ten, or twelve-month year. Salary and work year to be established by the Board.

EVALUATION:  Performance of this job will be evaluated in accordance with provision of the Board's policy on Evaluation of Support Services Personnel.
