REGISTRAR/RECORDS SECRETARY - POLARIS HIGH SCHOOL

QUALIFICATIONS:

  1. High School Diploma or GED.
  2. Office machine skills.
  3. Computer knowledge.
  4. Ability to work independently and meet time lines.
  5. Experience in school environment preferred.

JOB GOAL:

ESSENTIAL JOB FUNCTIONS:

  1. Establish and maintain good rapport with students, staff, and community.
  2. Assists administrator in developing master schedule and inputs data into computer.
  3. Register and schedule new students in appropriate classes.
  4. Maintain up-to-date computer records on each student including address, telephone, schedules, grades, and grade point average and class rank.
  5. Interpret and input pertinent information from new student transcripts.
  6. Maintain balanced classes within negotiated limits.
  7. Provide administration and counselors with lists of possible retentions.
  8. Process student withdrawals and notify appropriate departments.
  9. Assist in attendance area in absence of attendance clerk.
  10. Correlate daily enrollment information with attendance department.
  11. Maintain students' records in compliance with statutes, and perform proper disposition of students' records
  12. Prepare reports necessary for students, membership, and attendance.
  13. Use computer to enter and maintain student records.
  14. Maintain records for all in-district transfers.
  15. Receive and process textbooks, workbooks, paperback books, instructional aide materials, and supplies.
  16. Establish student fee charges based on curriculum information.
  17. Collect student fees, including outstanding charges.
  18. Maintain detailed student financial accounts.
  19. Collect outstanding charges, NSF checks, etc.
  20. Process student identification cards and maintain records on student lockers.
  21. Process student accounts upon withdrawal assessing charges for missing textbooks, etc. and processing refunds if applicable.
  22. Process student accounts for senior clearance.
  23. Prepare and verify state attendance reports for accuracy and completeness.
  24. Code, compile, and enter in computer and files a variety of data pertaining to attendance and enrollment.
  25. Do minor maintenance on computer equipment and copiers.
  26. Plan, assign, and direct the daily activities of the attendance office.
  27. Conduct residency verification checks.
  28. Check the work of subordinate attendance clerks.
  29. Receptionist, telephone communication.
  30. Perform general office tasks (typing, filing, and maintaining routine records related to department).
  31. Other job-related duties as assigned.

TERMS OF EMPLOYMENT: Nine, ten, or twelve-month year. Salary and work year to be established by the Board.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Support Services Personnel.
