CLERK – Student Records (formerly
Records Clerk – IMC)
QUALIFICATIONS:
- High
School Diploma or GED.
- Demonstrated
general clerical skills.
GRADE: 14
REPORTS TO: Director of Administrative Services
SUPERVISES:
JOB GOAL:
ESSENTIAL JOB FUNCTIONS:
- Responsible
for and maintains all inactive cumulative folders for a period five years.
- Processes
incoming requests to release student academic and health information
(K-8).
- Prepares
and forwards documents for receiving institution and/or employer (9-12).
- Utilizes
filing system and cross references student folders.
- Process
requests for academic or health information from parents, former
graduates, Department of Economic Security, Police Department Detectives,
out-of-school school representatives, Armed Force Recruiters, school
nurses, attorneys, in-state and out of state employers, Department of
Defense, or other authorized agencies.
- Provide
all in district schools with student's cumulative folder when returning to
the district.
- Microfilm
all inactive cumulative records after a five- (5) year period.
- Maintain
ledger of in-coming and out-going cumulative folders.
- Maintain
card file of pertinent information regarding student withdrawal from the
district.
- Perform
clerical duties for Records Department as needed.
- Other
job-related duties as assigned.
TERMS OF EMPLOYMENT: Nine, ten, or twelve-month year. Salary and work year
to be established by the Board.
EVALUATION: Performance of this job will be evaluated in
accordance with provisions of the Board's policy on Evaluation of Support
Services Personnel.
